Send Broker Check-Call Emails

Check calls email the broker a status update for a load, either on a schedule or when you click send. You set them up for each load on the load's Tracking tab.

Where in CloudTMS: /dispatch, /loads

Set Up Check Calls for a Load

  1. Click a load on the dispatch board or the Loads page to open its detail panel, then open the Tracking tab. (page: /dispatch)
  2. Under Check Calls, check Enable. The fields stay locked until you do. (page: /dispatch)
  3. Choose an Interval and enter the Broker email (required). Broker phone (informational) is only kept for your reference. CloudTMS doesn't call or text it. (page: /dispatch)
  4. If you like, write a Custom message template. Leave it blank to use the default message. (page: /dispatch)
  5. Click Save Settings. To email the broker right away, click Send Check Call. This saves your settings first, then sends. (page: /dispatch)

When Automatic Emails Go Out

CloudTMS checks for due check calls every 30 minutes. A load gets an email when check calls are enabled, it has a broker email, it is Dispatched, In Transit, At Pickup, Loaded or At Delivery, and the interval has passed since the last email. The first email goes out on the next check after you enable it. Because the check runs every 30 minutes, an email can arrive up to 30 minutes after its interval is up.

Only Every 2 hours, Every 4 hours and Every 6 hours send automatically. Manual only never sends on its own. At pickup only and At delivery only can be selected, but they don't send anything automatically yet, so use Send Check Call at those points.

Emails stop once the load moves past At Delivery, for example to Delivered. Send Check Call still works at any status.

What the Broker Receives

The subject is "Load [load number] Status Update". The default message includes the load number, the time, the current status, the driver's name, a last known location line, an ETA and your company name.

In a custom template you can use these placeholders: [X] (load number), [Time], [Current Status], [Name] (driver), [City, State] (last known location), [Estimated Delivery Time], [Company Name] and [MC Number].

The ETA is the load's scheduled delivery date. It isn't recalculated from the truck's position, and it shows "TBD" if there's no delivery date.

The location line shows GPS coordinates, not a city name. It's only included when the load's share level is Status + Last Known Location (set under Sharing & Public Link on the same tab), the load has no relay legs, and the driver's ELD or driver app reported a position in the last 2 hours. Otherwise the line is left out.

Check What Was Sent

The History table under Check Calls lists every send with Time, Sent By (auto or manual), Delivered To and Status. If a send shows Failed, hover over it to see the reason.
