Add a Driver

Add a company driver or owner-operator, record CDL and medical card dates, upload qualification documents, and understand how drivers get into the driver app.

Where in CloudTMS: /drivers, /drivers/[id], /settings/import, /users

Add the Driver

Company admins, safety, settlements, accounting and dispatcher users can add drivers. New drivers start on the Active tab of the roster.

  1. Go to Drivers and click Add Driver. (page: /drivers)
  2. Enter First name and Last name (both required). (page: /drivers)
  3. Pick a Driver type: Company driver or Owner-operator. (page: /drivers)
  4. Optionally enter CDL number, Email and Phone. (page: /drivers)
  5. Click Add Driver. If your account has more than one MC, the bottom of the form shows which MC the driver is being added to. (page: /drivers)

Driver Types

A driver is one of four types: Company Driver, Owner-Operator, Lease Operator or Fleet Owner Driver. The type decides which pay class and settlement rules apply to them.

The Add Driver form only offers Company driver and Owner-operator. To make someone a Lease Operator or Fleet Owner Driver, add them first, then change Driver type on their profile. A Fleet Owner Driver must also have a fleet owner picked in Paid by fleet owner.

Add CDL and Medical Card Details

Dispatchers and executives can view a driver profile but can't edit it.

The CDL number can only be entered when the driver is added or imported. There is no field to change it, or to set the CDL class or state, on the driver profile yet.

The profile also has a Social Security Number field. It is encrypted and not shown again after you enter it.

  1. Open the driver from the roster. On the Profile tab, click Edit. (page: /drivers/[id])
  2. Set CDL Expiration, Medical Card Expiration, Hire date and any other details, then click Save. (page: /drivers/[id])
  3. Open the Documents tab. The driver qualification file is grouped into Pre-Hire, Ongoing Compliance and Other Documents. (page: /drivers/[id])
  4. Click Upload on a row such as CDL Front, CDL Back or Federal Medical Card and pick the file. Use Replace to update it later, and Edit Details where a row has extra fields, such as the medical card number and expiry date. (page: /drivers/[id])

Getting Drivers into the Driver App

The driver app signs in with a CloudTMS driver login (email and password). How a driver gets one depends on how you added them:

Add Driver: if you enter an email, the driver gets a short welcome email saying they've been added to your company. It does not include a login or a download link, and no app login is created.

Import Drivers: each imported driver gets an app login linked to their profile, and the email on the row receives a temporary password. They must set a new password the first time they sign in. Email is a required column in the drivers import. Company admins, accounting, settlements and executive users can open Data Import.

Invite User on the users page with the Driver role creates a login, but there is currently no screen that links that login to an existing driver profile. A driver added with Add Driver can't be connected to the app from the web app today.

  1. To import drivers, go to Drivers, click Import Drivers and follow the steps on Data Import. (page: /settings/import)
